Stand at a hardware counter for one morning and you will see why software written for a general store struggles there. The same anchor bolt lives on the wall in four sizes and two brands. Wire leaves the shop three metres at a time, cut from a ninety-metre coil. Screws are weighed out loose, not counted. And the man buying all of it is a contractor who will settle "after the slab" — which means an account that has to survive months, not minutes.
We wrote a checklist like this for medical stores, where the problems are batches and expiry. This is the same exercise for the shop that sells by the piece, the metre and the kilo: what the software has to do, why, and where Layerdots ERP stands on each point.
One item, twelve sizes
A pharmacy's problem is batches; a hardware shop's problem is variants. An "anchor bolt" is not a product — an 8×60 anchor of one particular brand is, and it sells at a different price and runs out on a different day than the 10×80 beside it. If each size is entered as a loose item with the name typed slightly differently each time, the catalogue rots: three spellings of the same fastener, each with a bit of stock, none of them right.
So the requirement is unglamorous discipline: one naming pattern that carries brand and size ("anchor SS 8x60"), a search fast enough to narrow to that size while the customer stands there, barcodes where the box has one and name-search where it does not — and stock held per size, because "we have anchors" is no answer when the size the mason needs is the one that ran out. Do not judge any software on demo data here. Load one wall of your own fasteners into the trial and see whether the counter search keeps up with the queue.
Loose stock: the metre, the kilo and the cut piece
Half the stock in a hardware shop is not a count of pieces. Wire and chain sell by the metre, cut from a coil. Small fasteners sell by weight. If quantities can be whole numbers and nothing else, the stock figure turns to fiction within a week — 2.5 kg of screws entered as 2 or as 3 either mints stock that does not exist or quietly eats stock that does. The same goes for the cut piece: a 90-metre coil that has sold 63 metres is now a 27-metre coil, and the software should say so.
Whatever you install, run this test on day one: bill 2.5 metres of wire off a fresh coil, then look at the stock screen. If the answer is wrong, or the quantity box refused the decimal, the search for software is not over.
Contractor credit is a ledger, not a memory
A contractor is not a walk-in customer; he is a running account. Material goes out across weeks — a load of cement today, fittings on Thursday, a boy sent with a slip on Saturday — and money comes back in lumps when his own payments land. The requirement is a per-customer ledger where every credit bill lands under the name, every payment knocks the balance down, and the outstanding figure is something you can read out over the phone without turning pages. It also has to be honest history: which bills, which dates, what was paid against what — because when a six-month account is finally settled, the argument is always about the middle, not the total. And you want to see the balance before the next load leaves, not discover it at Diwali.
The evening the purchase bill arrives
Purchase entry is the grind of this trade. A supplier's bill from the electrical wholesaler runs to forty lines — sizes, brands, quantities, rates — and somebody has to get all forty into the stock system, usually at nine at night after the shutters are down. This is where software trials quietly die: not at billing, which is the easy part, but at the typing.

One bill, more than one GST rate
A hardware or building-materials bill routinely mixes tax rates, and the rates move. Cement was charged at 28% GST until the GST Council's 56th meeting (3 September 2025) cut it to 18%, effective 22 September 2025 under the CBIC's notification — cement makers such as UltraTech circulated the same advisory to their dealer networks. Natural sand under HSN 2505 sits at 5%, a rate both Tally Solutions' and Busy's published HSN guides list, as of August 2026. So one delivery's worth of goods can carry two rates on one bill, and last September's rate is not this September's.
The software therefore has to carry the rate and HSN per line, not one rate per bill — and at month end it has to produce something the GST portal accepts. Staff, slips and the recycle bin
A hardware counter is rarely a one-man post. Layerdots gives each staff member a login with per-feature permissions: expenses are a separate permission, so rent and salaries stay out of a counter clerk's view while he bills all day, and whether a given user may sign in from the phone app is decided per user. Everyone works; not everyone reads the money.
And busy counters mis-click. In Layerdots, deleted bills, purchases and expenses go to a recycle bin and can be restored for 30 days before they are purged — so one wrong tap during the evening rush is an errand, not a lost record.
Receipts at the width of your roll
Hardware shops accumulate printers the way they accumulate everything else — whatever a closing shop sold cheap. Software that hardcodes one roll width prints clipped or shrunken receipts on anything else. The godown has no signal
Plenty of hardware stock lives where the internet does not — a basement godown, a tin shed across the yard. The phone app pairs with the shop PC over your own WiFi and also needs no internet: stock lookup, today's sales, barcode scanning by camera, and photographing supplier invoices straight into the PC. If your WiFi reaches the godown, the stock answer reaches it too. Internet is needed only for the optional extras — AI invoice scanning, cloud sync and updates.
