If billing at your counter still means typing the first letters of a product name, picking from a list, and hoping the boy at the counter remembers whether the soap is ₹42 or ₹45, you have probably wondered whether barcodes are worth the trouble for a shop your size. The short answer: the trouble is smaller than it looks, and you do not have to do the whole shop at once. Here is what a barcode actually is, what you need to buy, and a starting plan that takes one afternoon.
A barcode is just a number the scanner types for you
There is no magic inside the stripes. A barcode encodes a number, nothing more. The one on most packaged goods in India is an EAN-13, thirteen digits, printed by the manufacturer. When you scan it, the scanner reads the stripes, converts them back into those digits, and types them into whatever box your cursor is sitting in, usually followed by an Enter. Your billing software then looks that number up in its own product list and pulls out the name, the price and the GST rate.
Packaged goods already have one: link it to your product once
Walk your shelves and you will find most branded, packaged stock already carries a barcode. You do not print anything for these. You only teach your software, once, which product each number belongs to. In Layerdots ERP that means opening the product, clicking into the barcode field, and scanning the packet. The number lands in the field, you save, and from then on every scan of that packet pulls up the right product. Printing labels for loose and unbarcoded stock
Some stock arrives with no barcode: repacked items, local brands, unbranded goods, the thousand small things a hardware counter sells by the piece. For these you print your own labels. The code on them does not need to come from any authority; inside your own shop, any number works as long as each product gets its own. Your software generates it, prints the stripes, and remembers the link. Registered global barcodes from GS1 India only matter if your products will be sold in other people's stores or listed on online marketplaces that demand them. For labels that never leave your shop, you do not need any registration.
Choosing a scanner: most USB scanners just work like a keyboard
This is the part shopkeepers expect to be complicated, and it is not. Most USB barcode scanners present themselves to the computer as a keyboard. Plug the cable in, put the cursor in the billing search box, scan, and the number appears as if someone typed it very fast. No driver disc, no configuration, no software from the scanner company. This is why nearly any scanner works with nearly any billing software, ours included.
Two choices matter when buying:
- 1D or 2D. A 1D scanner reads only striped barcodes. A 2D scanner also reads QR codes and reads well from phone screens. A basic wired 1D scanner is the cheapest thing on your counter and is enough for retail packets; 2D costs somewhat more and buys you flexibility later.
- Wired or wireless. Wired never runs out of charge and never unpairs. Wireless helps if you scan big items where they sit. For a fixed counter, wired is the boring, correct answer.
What changes at the counter
The first change is speed. A scan takes under a second; typing three letters, reading a dropdown and picking a line takes several, and that difference multiplies across every item of every bill of every day. Queues move visibly faster.
The second change is bigger: the guessing stops. The scanned product is the right product, not the similarly named one below it in the dropdown. The price is the saved price, not what anyone remembers. New staff can bill correctly on their first morning, because the knowledge sits in the software instead of in the head of whoever has worked there longest. And because the right product goes on the bill, the right stock gets reduced, so your stock reports and expiry lists stay honest too.
Where barcodes do not help
Honesty first: a barcode identifies a thing, so it fits things that are identical every time. A kirana counter selling loose dal by the kilo, open oil, vegetables, or anything cut and weighed to order has nothing fixed to label. The same goes for loose fasteners sold by count from an open bin. For these, name search and well-practised shortcuts remain the right tool, and a mixed counter is completely normal: scan the packets, type the loose goods. Weighing-scale label printers that print a barcode with the weight encoded in it exist, but they are supermarket equipment, and you do not need them to get almost all of the benefit.
Start with the fifty items you sell most
Do not begin by labelling the whole shop; begin where the queue is. Pull a daily sales or stock report, or simply write down what you know: the fifty items that cross your counter most often. In most shops a small share of products makes up most of the scans you would ever do.
- Link the packaged ones to their printed barcodes: one scan into the product's barcode field each.
- Print labels for the few fast movers that have none.
- Plug in the scanner, bill normally, and scan whatever has a code.
That is one afternoon of work, and it covers most of your billing volume from day one. Add the slower shelves whenever a helper has an idle hour. There is no switchover day and nothing breaks if half the shop is unlabelled for a month.
Common questions
Do I need to register anywhere to print my own barcode labels?
Not for labels used inside your own shop. Registration with GS1 India buys globally unique
numbers, which matter when your product sits in someone else's store or on a marketplace that
requires them. For your own shelves and your own billing counter, the software's generated
codes are enough.
Will scanning stop working if the internet goes down?
With Layerdots ERP, no. The product list, the barcode links and the prices live in a database on
your own computer, so the lookup never touches the internet. This is one real difference of a
local-first desktop app compared with billing in a browser tab, where the counter depends on
the connection.
The scanner beeps but nothing comes up. What went wrong?
Usually one of two small things. Either the cursor was not in the billing search box, so the
number was typed into nowhere: click into the field and scan again. Or the product is not yet
linked to that barcode: the scan finds no match, so search it by name, open it, scan the code
into its barcode field once, and the next scan will land.
